A reporting purpose does not automatically require personal records

An organization can need to know whether employees understand a policy without needing a named record of each employee's opinion. It can need representation figures without a spreadsheet linking every demographic answer to a person.

Start with the decision. Identify the information necessary to make it, then consider whether the organization needs individual access at all.

Reduce possession, not merely the retention period

Deleting a response file later and never receiving it are different choices. Once an organization receives individual answers, it must decide who can access them, where copies may go, and which uses are permitted.

In SafePorter's protected survey workflow, individual responses do not reach the organization. It works with the protected result instead.

That reduces the individual survey material in the organization's hands. It does not mean that SafePorter processes no personal data or that the organization has no remaining privacy responsibilities.

Apply the same discipline to written feedback

A comment may contain more personal detail than the organization needs to understand the issue. Keeping the full comment can preserve the revealing detail alongside the useful observation.

SafePorter aggregates written responses into group insights and suppresses identifying specificity. The organization can learn about the recurring issue without acquiring the individual comment.

Protect what remains

Aggregation is a method, not proof that a result is harmless. Small groups, combinations and revealing descriptions still need disclosure controls.

SafePorter withholds unsafe results and limits what reporting can reveal. The organization remains responsible for handling the information it does receive and for choosing an appropriate purpose for its survey.

Keep necessary individual processes separate

Some work genuinely requires a person's identity: resolving a support request, administering a benefit or investigating a particular concern. Use the appropriate channel for that work.

The opportunity for minimization lies in the other decisions, where the population-level finding is sufficient and the personal record adds exposure without improving the decision.
